Information we use

When you contact us, we receive your name, email address and the information you choose to include about your organisation or project. We may also receive your telephone number and subsequent correspondence. Please avoid sending passwords, sensitive personal information or confidential system details through the enquiry form.

Our website provider, Squarespace, processes technical information such as IP address, browser and device information and pages requested to operate and protect the website.

Why we use it

We use enquiry information to respond, assess whether we can help, discuss scope and prepare proposals. Our lawful basis is our legitimate interest in responding to business enquiries and managing professional relationships. Where you personally ask us to take steps towards a contract with you, we may also process information for those pre-contractual steps.

We use necessary technical information to operate and secure the website, relying on our legitimate interest in providing a reliable service. If optional analytics cookies are used, we ask for consent through the cookie controls.

Providers and international processing

Squarespace provides our website and enquiry forms. Microsoft 365 provides our email service. Namesco supplies associated domain or service administration. These providers process information needed to deliver their services. Relevant information may also be disclosed where required by law or needed to establish or defend legal rights.

Provider processing may take place outside the UK, including in the United States. Applicable safeguards may include approved contractual clauses and the UK Addendum or an applicable adequacy arrangement. Contact us for information about the safeguards relevant to your enquiry.

How long we keep enquiries

Unsuccessful project enquiries are deleted one month after the last contact. This applies to our enquiry records and correspondence, including copies held in website form storage. If an enquiry becomes an engagement, relevant records are kept for service delivery and applicable legal, accounting or contractual needs. Records needed for an active dispute or legal obligation may be retained for as long as that need continues.

Cookies

Squarespace uses cookies needed for website operation and security. Optional analytics cookies, where enabled, are controlled through the cookie preferences. You can also manage cookies in your browser; blocking necessary cookies may affect site functions.

Your rights

Depending on the circumstances, you can ask to access, correct or erase your personal information, restrict its use, or receive a portable copy. You can object to processing based on legitimate interests and withdraw consent where processing relies on it. These rights have conditions and exceptions.

Contact owen@oceansecurity.tech to make a request. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

We do not use enquiry information to make solely automated decisions with legal or similarly significant effects. We will update this notice when our website or information-handling arrangements change.
